Who may borrow

University of Auckland Staff and Students

  • A current University of Auckland ID is required for all borrowing. 
  • To obtain your ID contact the University ID Card Centre, (at City Campus, basement of the Old Arts Building, Room 020). It is advisable to make an appointment. Ph: 373-7599 ext. 87885.

Auckland District Health Board staff

  • A University Library ID card is required for all borrowing.

  • Ask at the Philson Library lending desk (remember to bring your current ADHB ID).

Associate Members

  • To apply to become an Associate Member of the Philson library please contact the Philson Client Services Librarian.
  • A current University of Auckland ID is required for all borrowing.

Please keep us up to date with your current contact details. Change of address/email/phone number forms are available from any branch of the University Library and from the Information Desk at the Registry. Maintaining reliable contact details can help you to avoid fines for late return of borrowed material.

Loan periods

To borrow you must have your University of Auckland ID card. 
NO CARD = NO BORROWING. Please provide desk staff with the call number of the item you wish to borrow. To avoid fines, return your items on time or renew them.

Books

  • Staff and Graduate Students - 60 days 
  • Undergraduates and Auckland Healthcare Staff - 28 days 

Serials

  • Only a few serials titles are borrowable. This is indicated on the Catalogue under Location. 
  • When a serial volume or part is borrowable, the loan period is 7 days. 

Short Loan Collection

  • The Short Loan Collection contains items such as prescribed texts which are in high demand and are required by a large number of students, usually within a limited period of time. 
  • Short Loan items are issued for 2 hours (1 hour if in high demand). Videos and Journals are available for 7 day loan. 
  • Next day reserve is available. 
  • Overnight loans: items are available for overnight loan from 2 hours before closing. They must be returned within half an hour of opening the next working day.

New Zealand Reference Collection

As for items in the Short Loan collection. To be used in the Library only.

Other

  • Videos: 7 days.
  • CD Collection: 60 days for Staff and Graduate Students. 28 days for Undergraduates and Auckland Healthcare Staff
  • Theses: 60 days for Staff and Graduate Students. 28 days for Undergraduates and Auckland Healthcare Staff. The Library also holds a Reference only copy of most theses.

 

Locating material

When you locate material on the Catalogue which is not on the shelf

  • If an item listed on the Catalogue is on loan, you may recall it:
  • You may place a recall via the Catalogue. You will be notified via email when the item is available.
  • You can choose which divisional library you would like to collect the item from.

Material from other University of Auckland Campuses 

If you have located material on the Catalogue, which is available but held on another Campus, you may place a request via the Catalogueto bring that item to the Philson Library for you.

Material from outside the University of Auckland 

University of Auckland staff, and students may obtain items the Library does not hold by using the Inter-library loan service. The library will source the book, or article from the best available source in New Zealand or internationally. 

Note: Urgent requests and requests supplied from overseas may have associated costs. We will only go ahead with these if you have indicated that this is ok on your form or we will contact you and ask if we cannot find an item in New Zealand.

ADHB document requests

ADHB staff who wish to borrow material from other campus libraries, or material that the university does not hold, need to fill out a request form to get it sent to Philson library for them to pick up. You will need to be signed up as a library member to access this service. Refer to document delivery services available via the ADHB Library Links service.

Note: All requests require your departmental RC Code. Check with your department admin people if you do not know this number.

Returning, renewing, and recalls

To be fair to all readers, material borrowed from the Library must be returned or renewed by the date stamped inside the front of each item. In the event of an item being recalled this stamped date is overridden by the new date on the recall notification (email or print notice). Fines will be charged for late returns.

Returning items 

Books from all University of Auckland divisional libraries may be returned at the Philson Library. The returns chute is located at the Lending Desk, and there is an after-hours slot at the Library entrance.

If returning audio-visual material in person, please hand it in at the Lending Desk.

ADHB staff may return material via the internal mail system. If using the latter, please remember to wrap the items carefully, and to allow at least a day for the mail to reach the Library. Please note that the item remains your responsibility until the Library has discharged it from your patron record.

Renewals

To renew items you have on loan you may either:

  • Log in to your library patron record and renew them from there, or
  • Bring your ID/library card to the library front desk and request to renew the relevant items (you do not need to bring the books along when you do this)

University of Auckland staff and current postgraduate students may renew regular loan items (books & most CD-Roms) 2 times before they must be presented at the Library. All other borrowers may renew regular loan items once before they must be presented at the Library.

In some circumstances  items are cannot be renewed:

  • If they are shorter loan items - 2hr Short loan items, 7 Day loan borrowable serials, 7 Day loan videos, 3 Day loan items 
  • If someone else has reserved or recalled the book
  • If your library fines are over the limit
  • If they have already been renewed more than the limit specified above

Recalls

To try and achieve fair access to a limited range of resources we have a recall system where a borrow may request an item back earlier when it is on loan. You may recall books online using the "Recall" button in the Catalogue.

If you receive a Recall Notice for an item you have out on loan you must now return it by the date shown on the notice. Overdue fines of $3.00 a day will be charged for late return of recalls.

It is very important that we have your current contact details so that you are able to receive library notification in the event of a recall being placed on a book you have out.

Fines

The Library charges fines for the late return of any material. It is your responsibility to return material on time. The Library is under no obligation to notify borrowers when books are overdue - even if no notice has been received, a fine will still be charged when the items are returned after the date stamped.

Overdue items  25 cents per day
Recalled items Overdue $3.00 per day 
Short Loan items Overdue 5 cents per minute
Lost items Replacement cost, plus overdue fine, recall fine (where applicable) & administration fee

Library fines and bills may be paid at the Lending Desk. Unless fines are paid promptly, the following penalties are be imposed by the university until they are dealt with:

  • withdrawal of borrowing privileges 
  • refusal of re-enrolment 
  • disqualification from graduation

Photocopying

For staff, students, and library associate members, your University of Auckland ID card is also your photocopy card. For other library users you can buy a reusable swipe card. Cards can be purchased at a cost of $2.00 (a one-off charge). Credit value can then be added. 25 cents per copy is deducted .

University of Auckland staff and students are eligible for a discounted photocopying rate of 10 cents per page.

Users are reminded that they are subject to prevailing Copyright legislation.
