Located on level 1 of the Kate Edger Information Commons, City Campus.  Kate Edger Short Loan (Kate Edger SL) serves students from the Faculties of Arts, Business and Economics, Science and Education, as well as students from the School of Theology.

The Short Loan collections for all other subjects are located in the specialist libraries. For information and locations refer to the Library website >> Libraries, Departments & Collections

The purpose of Kate Edger SL is to provide controlled access to material in high demand. The Short Loan collection consists of prescribed and recommended material, as requested by teaching staff. Material may include library books and electronic resources, i.e. digitised journal articles, book chapters and/or extracts. Short Loan is intended to be confined to material that will be in heavy demand, and integral to the course for which it has been provided. 

Kate Edger SL assumes that students purchase their own copies of prescribed texts.  A limited number of copies of prescribed texts are available.

What is in the Collection?

  • Books - prescribed and recommended. Some books are accompanied by CD ROMS. Kate Edger holds the most recent edition of prescribed texts, unless an earlier edition is required specifically by teaching staff

Locating Materials

  • All items are listed in Library Search.  Use the Library Search option under Find on the Library Home page. Use the Readings & Exams tab and type in your course code as per the instruction
  • Books are identified by a Book icon, Book icon, or a generic book icon, Generic book icon
  • Books are arranged on the shelves in Dewey Decimal order. The same as books in the General Library e.g. 305.34 H54 
  • Journal articles, book chapters & book extracts are available electronically and are identified by an E-Reading icon, E-Reading icon
  • Exams are indentified by an Exams icon, Exam icon

Borrowing & Returns

The collection is available to all enrolled students and staff of the University. Continuing Education students cannot borrow 2 hour loans.

  • You need your ID/Library card to borrow material.
  • To borrow a book, locate it on the open shelves and then take it to one of the two Self-Issue machines, together with your ID card. Follow the instructions.
  • No more than three items may be borrowed at any one time.
  • Some items are borrowable overnight
  • All items can be reserved in advance.
  • All books are to be returned through the Book Returns machine outside the entrance.

Overnight Borrowing

Overnight Loans are available during the last hour before closing and must be returned within the first hour of opening the following day.
  • If you want to take a 2-hour loan overnight you MUST wait till the LAST HOUR Short Loan is open, i.e. when Short Loan closes at 10:00pm the book can only be issued AFTER 9pm
  • If you issue a book in the second to last hour before closing time, the book is only issued till closing time, which means it must be returned by that time. If this book is not returned you will be fined five cents per minute until returned. It is your responsibility to check the due date and time on the issue receipt at the time of issue.
  • A book issued overnight must be returned to Short Loan BEFORE the end of the first hour of opening the next morning, i.e. when Short Loan opens at 8:00am the book must be returned BY 9:00am.

Reserves

Reserves can be placed on 2-hour loan and 3-day loan items. Reserves need to be placed in person at the Short Loan service desk, and cannot be done online.

2-hour loans

  • Can only be reserved for the current day.
  • Reserves are only available at hourly intervals, e.g. 11am, 2pm etc. not half-hourly or quarter-hourly e.g. 10.30am, 3.45pm etc.
  • Reserves can be placed for any available one or two hour slot during the day including the last hour of the day to secure overnight borrowing.
  • 2-hour loans with reserves on them are normally kept on the open shelves but can only be issued by the person who placed the reserve.
  • If a reserved 2-hour loan item is not picked up within 10 minutes of the reserve start time the item becomes available again.

3-day loans

  • Reservations can only be made on books currently charged out to another student.
  • These books are kept behind the Short Loan service desk once they are available for collection.
  • You will be notified by email and on your My Library Account record in Library Search once the item is ready for collection.
  • Reserved 3-day books must be collected within 3 days of becoming available.  If an item is not collected within that time it becomes available to the next person in the reserve queue, or any other student if there is no reserve queue.

Fines

  • Hourly overdue items are charged at $0.05 per minute.
  • 3-day loans are charged at $3.00 per day.

To avoid fines, return your items on time or renew them. You may self-renew 2-hour loans in your My Library Account record in Library Search

  • Disputes about fines should be supported by receipts from the self issue and/or self returns machines.
  • You may be charged an additional $20 fine (up to a total of $60) each time you have an overdue item which is not returned in time for a reservation, thereby inconveniencing other patrons. This is in addition to any standard overdue fines.
  • Borrowing from the library is blocked when fines reach $10.00.
  • If your overdue books are not returned within four weeks after the due date you will be billed for the replacement cost of the book, as well as the overdue fine and a processing fee.

Overdue Notices & Other Library Notices

The following applies for all Short Loan materials issued to all staff and students.

All notices are sent via EC Mail. 

1 - Overdue Notices:

30 days after the due date the item status changes to 'Lost'.  The patron is billed automatically and a Fines & Fees Statement for replacement, processing and overdue costs is sent the next day.

2 - Fines & Fees Statements:
Statement sent once student or staff member owes more than $10.
 
3 - Item Available Notices:
Notice sent the day after an item is returned, only for 3-day loan items.

Library Regulation 6.1.g states: The University Librarian is under no obligation to notify Borrowers when a Borrowed Item is overdue; a fine is charged when a Borrowed Item is returned after the Due Date, even though no overdue notice may have been received by the Borrower.

Information for Teaching Staff

Guidelines for placing Course Materials in Short Loan

Kate Edger SL assumes that students purchase their own copies of prescribed texts.  A limited number of copies of prescribed texts are available. Kate Edger SL holds the most recent edition of a prescribed text unless an earlier edition is required specifically by a lecturer.

Request new items for Short Loan using the online Short Loan Request Forms.  All forms are for use by teaching staff only. Students who require materials to be placed into Short Loan should contact their lecturer or course coordinator.

Guidelines

Requests can be placed anytime and should be made well in advance of the teaching period for which the materials are required.  Please be aware that the start of Semester is a very busy time and that requests are processed in order of receipt.  At peak times, unavoidable delays may occur.

Turn Around Times

1. Book Requests

Books that are requested for Short Loan and which the Library does not hold are ordered within one week of receipt of the request.  Orders are placed with the supplier that is expected to deliver most speedily. 

2. Electronic Course Material Requests

The processing time for Electronic Course Materials depends on the availability of the original item. The Library aims to complete Electronic Course Material requests where the item is immediately available within 4 working days from the date of submission.

Items that need to be recalled from patrons, purchased or ICLDS will take longer, and these delays cannot be precisely predicted. The volume of requests waiting to be processed also affects turn around, particularly during peak times. In 2010 3726 electronic course material requests were submitted and processed, compared to:

Withdrawing Items no Longer Required

To remove course materials that are no longer required use the Item Withdrawal Form in the Course Materials Request page.  Requests to withdraw material from Short Loan will be processed as soon as possible after the date of submission, but requests for new material take priority.
